A gate pass is the internal document that authorizes a security gate to let a vehicle carrying goods leave the premises. It lists the vehicle, driver, destination, products, and quantities, and serves as the checkpoint for preventing unauthorized dispatch and pilferage. Every vehicle leaving a plant or warehouse in Indian distribution generates a gate pass, and the security team verifies the physical load against the pass before opening the gate.
Unlike a trip sheet (which is operational) or a tax invoice (which is legal), a gate pass is purely a security and control artifact. RGP is a special kind used for returnable assets.
Digital gate passes, generated by invoice-billing and distribution tracking software, can be verified at the gate by scanning a QR code, eliminating paper and speeding up vehicle movement during peak dispatch windows.
Real-world example
A dairy plant issues a gate pass for truck MH-12-XX-4567 carrying 2,500 litres of milk to Thane distributor at 4:15 AM; the security guard scans its QR at the gate to let it through.
